Job Description

The Executive Assistant provides high-level administrative, strategic, and operational support to senior leadership at the NYC Law Department, including the Corporation Counsel, First Assistant Corporation Counsel, and other Executives. This position is critical to the effective functioning of the New York City Law Department and requires a highly disciplined professional capable of operating at the intersection of law, public policy, and city governance. The individual in this role will function as a project manager of complex workflows, confidential legal matters, and intergovernmental communications. The ideal candidate should demonstrate exceptional discretion, strong critical thinking skills, political acumen, organizational skills, technical proficiency, a collaborative attitude, and fluency in governmental and legal processes.

In coordination with the Special Assistant to the Corporation Counsel, the Executive Assistant will be responsible for the following:
- Executive Support & Strategic Coordination
- Assist in managing the Corporation Counsel’s calendar, prioritizing competing demands including court appearances, internal leadership meetings, and external stakeholder engagements.
- Prepare briefing materials, legal summaries, talking points, and background memoranda for high-level meetings.
- Coordinate internal and cross-agency initiatives, ensuring timely follow-up and execution of action items.
- Serve as liaison between senior leadership, division heads, and external partners.
- Confidential & Legal Administrative Management
- Handle sensitive and privileged communications with strict adherence to confidentiality protocols.
- Maintain secure filing systems for legal documents, executive correspondence, and policy materials.
- Communications & Public Interface
- Draft and edit formal correspondence, memoranda, interoffice directives and statements.
- Manage high-volume communications with professionalism and sound judgment.
- Project & Staff Coordination
- Lead special projects, as needed and directed.
- Develop and implement systems to improve executive workflow and document management.

SECRETARY TO THE CORPORATION C - 12879

- Bachelor’s degree required; advanced degree or paralegal certification preferred.
- 7+ years of executive-level administrative experience, preferably within a government law department, court system, or public agency.
- Demonstrated knowledge of municipal government structure, and legal terminology.
- Exceptional organizational skills with the ability to manage multiple high-stakes priorities simultaneously.
- Advanced proficiency in Microsoft Office Suite and document management systems.
- Strong written and verbal communication skills.
- Proven ability to exercise sound judgment in politically sensitive environments.
