Duties and Responsibilities (* denotes essential functions):

  • * Oversee Outreach College’s Student Services unit with administrative and operational oversight of registration, admissions, recruitment and advising. 
  • * Supervise staff and determine training needs, assess workload, and prioritize tasks 
  • * Develop annual budgets and annual plans for the unit.
  • * Monitor and maintain awareness of relevant policies, procedures, and operating standards that impact advising, registration, admissions, and related student support functions/aspects.
  • * Serve as the primary Outreach College contact for all issues related to the systems and platforms that support student registration and enrollment in Outreach programs.
  • * Support and coordinate efforts to recruit and retain students for Outreach college credit programs, including tracking inquiries and improving enrollment processes. 
  • * Monitor requests and make decisions as necessary for course overloads, waiver of course pre-requisites, enrollment in excess of credit limits, or any exception to registration, enrollment policies, or procedures.
  • * Supervise responses to faculty/instructor inquiries regarding registration, admissions, and grade processing policies and procedures as well as faculty responsibilities.
  • * Oversee grade submission processes and coordinate communication with departments and faculty regarding late or incomplete grades in Outreach College courses.
  • * Ensure that all student records are maintained in compliance with federal and state laws as well as University of Hawaii retention and privacy policies.
  • * Ensure that all courses are established and delivered in compliance with academic policies of the University.
  • Provide the Associate Dean with recommendations to improve aspects of academic support services.
  • Train staff on systems and platforms used to conduct registration-related activities for Outreach College.
  • Ensure that appropriate persons are notified of exception requests and that approved exception actions are completed.
  • Coordinate the offering of Outreach College courses in collaboration with campus College, departments and units.
  • Ensure that all payment information received by Student Services is efficiently forwarded to Business Office or Cashier’s staff for processing.
  • Collaborate with College Institutional Analyst and IT specialists to develop systems to track data related to student registrations, inquiries and requests.
  • Oversee advising support functions to ensure accurate and timely guidance for students in Outreach College programs.
  • Other duties as assigned.

Minimum Qualifications:

Education and Professional Work Experience:

  • Possession of a baccalaureate degree in education, counseling, communication, business administration management, humanities, or related field and 4 year(s) of progressively responsible professional experience with responsibilities for student records and registration in a higher education institution; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
  • Considerable working knowledge of principles, practices and techniques in the field of student records and registration in a higher education institution as demonstrated by the broad knowledge and understanding of the full range of pertinent standard and evolving concepts, principles and methodologies.
  • Considerable working knowledge and understanding of applicable federal and state laws, rules, regulations and theories and systems associated with student registration and records.
  • Demonstrated ability to resolve wide ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective, innovative and timely manner.
  • Demonstrated ability to interpret and present information and ideas clearly and accurately in writing, verbally and by preparation of reports and other materials.
  • Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team leaders and members, and individuals.
  • Demonstrated ability to operate a personal computer and apply word processing software.
  • For supervisory work, demonstrated ability to lead subordinates, manage work priorities and projects, and manage employee relations.
  • Ability to organize and manage unit operations, including staff supervision, workload prioritization, and coordination of student services functions and related processes Ability to assess needs of the office and students served as well as develop implementation plans.
  • Experience with computers such as Macintosh, related databases, and word processing software.
  • Experience with registration systems.

Desirable Qualifications:

  • Familiarity with University of Hawai'i admissions, academic policies and procedures.
  • Knowledge of the various information systems available to students at the University of Hawai'i such as Banner, STAR, CourseDog, etc.
  • Three years progressively responsible professional experience working with nontraditional students in a student academic services setting.
  • One or more years of supervisory experience in the area of academic and student support services.
  • Masters degree in education or other related field.
